How can I make incoming faxes arrive in a public folder?

To make incoming faxes arrive in a public folder, proceed as follows:

Microsoft Exchange 2007

  1. Create a public folder as explained at: http://technet.microsoft.com/en-us/library/aa997965.aspx
     

     
  2. By default all users will be able to create items in this Public Folder. This can be confirmed using the ‘get-publicfolderclientpermission’ cmdlet. More information can be found at: http://technet.microsoft.com/en-us/library/bb123881.aspx
     

     
  3. Mail-enable the public folder by running the ‘Enable-MailPublicFolder’ cmdlet as explained at: http://technet.microsoft.com/en-us/library/bb691162.aspx..
     
  4. Create a new user from Microsoft Exchange Management Console -> ‘Recipient Configuration’-> ‘Mailbox’ -> ‘New Mailbox’. 
     
  5. In the ‘Introduction’ page select ‘User mailbox’ and click ‘Next’. 
     
  6. In the ‘User Type’ page select ‘New User’ and click ‘Next’.
     
  7. In the ‘User Information’ page enter all relevant information for the mailbox and click ‘Next’.
     
  8. In the ‘New Mailbox’ page confirm the mailbox settings and click ‘Next’.  
     
  9. You need to configure mail forwarding so that emails addressed to the new mailbox are forwarded to the Public Folder. This needs to be done using the ‘Set-Mailbox’ cmdlet from the Microsoft Exchange Management Shell. Microsoft Management console does not display Public folders for routing.

  10. Configure GFI FAXmaker to route all faxes to the mailbox created in steps 4 -8 above.

 
Microsoft Exchange 2000 / 2003 

  1. Create a public folder (using Microsoft Exchange client or Microsoft Outlook). 
     
  2. After creating the public folder, you should give to all users the right to create elements in the folder. (This is done by default if the public folder is at the root of the folders hierarchy).
    To be sure that users have the right to create elements in the folder use the following steps: 
    • From Outlook or an Exchange client, right Click on the public folder and open its properties. 
    • Go to Permissions.
    • Give to the 'Default user' the 'Author' role and 'Anonymous' the 'Contributor' role.
    • Click on OK. 
       
  3. From the Microsoft Exchange 2000 System Manager, select the newly created folder from <Folders\Public Folders\>.
     
  4. Select properties from the 'Actions' menu (Alt-A) and then select the 'Exchange Advanced' tab.
     
  5. Un-check the 'Hidden' from 'Exchange address lists' check box and click 'OK'.
     
  6. Create a user using Active Directory Users & Computers.
     
  7. While in the user's properties, go to the 'Exchange General' tab, click on 'Delivery Options' and in the 'Forwarding address frame' select the public folder using the 'Modify' button. 
     
  8. In GFI FAXmaker configuration, configure this mailbox to receive all incoming faxes).

 
Microsoft Exchange 5.5 

  1. Create a public folder (using Microsoft Exchange client or Microsoft Outlook). 
  2. After creating the public folder, you should give to all users the right to create elements in the folder (This is done by default if the public folder is at the root of the folders hierarchy).

    • From Microsoft Outlook or a Microsoft Exchange client, right click on the public folder and open its properties. 
    • Go to 'Permissions'.

    • Click on 'OK'. 
       
  3. From the Microsoft Exchange administrator, select the newly created folder from <Folders\Public Folders\ >.
     
  4. Select properties from the file menu (Alt-F) and then select the 'Advanced' tab.
     
  5. Un-check the 'Hidden recipient' check box and click 'OK'.
     
  6. Create a mailbox using Microsoft Exchange administrator.
     
  7. While in the mailbox properties, go to the 'Delivery Options' tab, and make the public folder the alternate recipient for the mailbox.
     
  8. In the GFI FAXmaker configuration, make this mailbox receive all incoming faxes.
